Personal Data Processing Policy

Habeas data regime · Law 1581 of 2012 · effective 6 July 2026

Notice. This document describes Semántico’s data processing under Colombian law; it is not legal advice. In case of any discrepancy, the Spanish version prevails.

This policy gives effect to the fundamental right of habeas data (Article 15 of the Colombian Constitution) and complies with Law 1581 of 2012 and Decree 1377 of 2013.

Data controller

Data processed

(a) Identification and contact data of clients and business contacts; (b) data contained in the documents submitted for translation or interpreting, which may include sensitive data (judicial, immigration, health or financial information); (c) billing and payment data.

Purposes

Exclusively: (i) to perform the contracted language services; (ii) to issue quotes, invoices and legal/tax records; (iii) to manage the commercial relationship and communications relating to the assignment; (iv) to meet the legal and professional duties of the official translator. Data is not used for advertising without separate express consent, nor sold or transferred to third parties.

Sensitive data

Processing of sensitive data contained in source documents is optional and carried out only because it is indispensable to provide the service requested by the data subject or by whoever legitimately submits the document. Such data receives reinforced safeguards.

International transfer and transmission

When the client is outside Colombia, delivery of translations and communications involves the international transmission of data, carried out through encrypted channels and limited to the purpose of the assignment.

Security measures

Encrypted storage, access restricted to the controller, secure delivery channels, and a document retention and destruction policy.

Rights of the data subject

To access, update, rectify and delete their data; to request proof of consent; to be informed of its use; to revoke consent and/or request deletion where no legal or contractual duty to retain applies; and to file complaints with the Superintendency of Industry and Commerce (SIC).

Enquiries and complaints

Channel: [email protected]. Enquiries: answered within ten (10) business days, extendable by five (5) more with notice. Complaints: answered within fifteen (15) business days, extendable by eight (8) more with notice, under Articles 14 and 15 of Law 1581 of 2012.

Effective date

This policy is effective from 6 July 2026 and remains in force while data processing continues. Data is retained under the document retention policy.
