Data we process

• Contact data: name, email, WhatsApp number and, when an invoice is issued, identity document number.
• The documents you send us for a quote or a translation and the data they contain, including data about other people (for example, parents or children on a civil registry record).
• Payment data: amount, date, reference and the payment receipt you upload. We do not receive or store card numbers; payments are processed by Nequi/Wompi or PayPal.
• Technical browsing data from this website (see Website analytics).

Purposes

Preparing quotes; translating, reviewing and certifying documents; handling notarization, apostille or legalization when you request it; informing you about the progress of your order and delivering your translation; invoicing and meeting legal obligations; and answering inquiries and complaints.

Sensitive data and data about minors

Some documents contain sensitive data (for example, health information) or data about children and adolescents. We process this data only to provide the service you requested and with your express authorization. You are not required to authorize the processing of sensitive data. Data about minors is processed with the authorization of their legal representative and with respect for their prevailing rights.

Service providers (processors) and transfer of data outside Colombia

To provide the service, some providers process data on our behalf on servers located outside Colombia:

• An artificial intelligence provider, with servers outside Colombia, reads the pages of the documents to count the words and calculate the quote. Access may go through a technology intermediary, also with servers outside Colombia. They receive the documents only for that reading. Unclear cases are reviewed by a member of our team. Every translation is reviewed, corrected, signed and sealed by a person certified in official translation.
• A cloud infrastructure provider hosts the website, the quote database and the files, on servers outside Colombia.
• An email provider sends the notices about your order, on servers outside Colombia.
• Nequi/Wompi (Colombia) and PayPal (abroad) process payments under their own policies.
• Google Analytics measures the use of this website.

These providers may process the data only for the purposes stated here and must protect it. We do not sell or transfer your data to third parties.

Retention

The documents you upload to the quote tool and your payment receipts are deleted from the website after 180 days. Delivered translations remain available for download for 180 days. If you hire the service, the copy of the document that forms part of your translation file is kept, together with the records of quotes, translations and invoices, for as long as the law requires.

Linguistic content

We may keep formats and terminology from the documents, without any personal data (names, identification numbers, dates, addresses or any other data that could identify a person), to maintain the quality and consistency of our translations. If you prefer that we do not do this with your documents, write to [email protected] and we will exclude them.

Security

Files travel encrypted, can be downloaded only through temporary links, and the management panel is used only by authorized people with verified sign-in.

Website analytics

This website uses Google Analytics to collect technical and usage information, such as visited pages, approximate location, device, browser, and interactions with contact links, to measure website performance and improve its content.

Your rights

You may access, update and correct your data; request proof of your authorization; learn how we use your data; revoke your authorization or ask us to delete your data when there is no legal duty to keep it; and file complaints with the Superintendence of Industry and Commerce (SIC). Consulting your data is free of charge.

How to exercise them

Write to [email protected] with your name, your request and a way to reply to you. Inquiries are answered within 10 business days and complaints within 15 business days at most, extendable in the cases provided by law.

Effective date

This policy is effective from its publication. Material changes are announced on this website. The Spanish version prevails. Last reviewed: October 15, 2026.
